Job Description

Job Summary:
The Spa Operations Supervisor is responsible for coordination and supervision of the overall daily operation of the Spa. The Supervisor provides supervisory and administrative support for back of house, front of house and management. The Spa Operations Supervisor must plan for and ensure a smooth flow of daily operation, coordinate activities, events, and schedules of service providers, coordinators, and attendants, while also balancing work on daily administrative duties. He or she will ensure the spa operates efficiently and profitably while consistently working to help improve associate engagement, satisfaction and work performance.


Duties and Responsibilities:
In addition to the following duties and responsibilities, other duties may be assigned:

 Serves as main point of contact for leads, supervisors, providers and back of house team. In absence of front desk supervisor, serves as main point of contact for front desk associates.
 Acts as the leadership point of contact for all departments in the absence of director or manager, or as requested by management.
 Understands, upholds, trains, and abides by all ORC policies, guidelines, standards and procedures.
 Leads by example and demonstrates initiative, taking ownership of challenges and always displaying excellent guest resolution skills.
 Assists with directing spa team to ensure smooth flow of operation and a satisfactory member/guest experience at all times.
 Works closely with leadership team to implement and train associates on policies and procedures, following up to ensure compliance.
 Creates and submits orders for supplies, backbar, retail, or other, and keeps accurate, detailed records on items received, backordered, or delayed.
 Follows up on orders with appropriate parties.
 Serves as point of contact for purchasing team, accounting, and vendors for questions on orders.
 Reviews packages to ensure all is received before putting out on floor.
 Monitors schedule for proper balancing of appointments, communicating with front desk supervisor and/or front desk to ensure this is completed properly.
 Works with spa team to ensure facility is clean, stocked and well maintained at all times.
 Follows up on engineering, housekeeping, and maintenance work orders, ensuring all are updated consistently on progress.
 Coordinates and communicates with front desk on back of house issues in regards to scheduling or daily appointments.
 Keeps management informed of all member/guest, associate, and facility issues.
 Is available and able to assist in all aspects of the Spa including front desk, locker rooms, and/or other areas of operation as needed based on business needs.
 Monitors public areas to ensure well maintained, alerting attendants immediately if in need of attention.
 Works with front desk and back of house to assist with coordination of special events, packages, site visits, groups, or other.
 Ensures spa and salon is opened and closed down properly each day.
 Assists with trunk show/event setup, breakdown, vendor lunches, and/or other as requested.
 Directs associates as needed during down times to ensure time is productive and utilized efficiently.
 Reviews daily lineup on a regular basis and works with management, supervisors, leads to make suggestions, coach, counsel, train, or other to address issues reviewed in the reports.
 Works to immediately resolve member/guest requests, complaints or concerns to ensure a satisfactory experience.
 Attends all meetings and training sessions as requested/required by management.
 Helps coordinate, conduct and complete inventory counts for linen, retail, backbar or other.
 Works closely with spa management to communicate goals, objectives, policies, procedures, prices and/or other pertinent information to spa team.
 Assists with agenda creation for departmental meetings.

 Acts as Spa representative and attends associate advisory meetings as required, ensuring all associates needs/requests are shared.
 Maintains communications board in break rooms and dispensaries.
 Ensures pertinent information is shared through the appropriate channels such as daily lineup, emails, bulletin board, or other.
 Reports and documents observed or known safety hazards, conditions, unsafe procedures, and/or occurrences involving staff or guests that require attention to management immediately.
 Assists with interviewing, training, counseling and performance reviews for spa associates.
 Maintains a positive attitude and contributes toward a quality, respectful, team oriented work environment.
 Knows safety procedures and act as guide for members, guests and associates in the event of emergency.
 Assists with administrative duties in any and all areas of spa operation as requested by management.
 Performs other tasks or projects as assigned by Spa Director or Spa Manager.

Job Requirements

 Minimum of 1 year’s supervisory experience in hospitality, spa, salon or related environment.
 Ability to be efficient and productive in a fast-paced environment.
 Ability to lead a team effectively and efficiently.
 Knowledgeable and able to work in excel, word, outlook
 Must have enthusiasm and possess excellent customer service skills.
 Must be able to adapt plans quickly and effectively with last minute changes
 Enjoy working with people and possess a friendly and outgoing personality.
 Excellent communication and listening skills.
 Must be a team player.

 Required to maintain a physical presence within the Spa and public areas to perform assigned duties.
 Knowledgeable on spa and salon services, treatments and products.

his position requires daily standing, walking, lifting, grasping, wiping, bending, stooping, pulling, folding kneeling, and at times sitting for long periods of time. Substantial repetitive movements (motions) of the wrists, hands, and/or fingers.
 Must be able to lift at least 25 pounds and occasionally very heavy lifting up to 50 pounds. Must have the ability to lift, carry, push, and/or pull moderate to heavy amounts of weight and to operate assigned equipment.
 Occasionally work in off-site locations other than the Spa.

 Maintain a strong focus on detail while multitasking in a fast paced atmosphere.
 Must be honest, reliable and able to handle confidential information.
 Performs other duties as assigned which may include the use of Personal Protection Equipment (PPE).
