Job Description

JOB SUMMARY: Responsible for daily administration of human resources, inventory, and other operations functions and enforcing Company policies and procedures. Provides the highest level of internal/external guest service in strict accordance to service standards. ORGANIZATIONAL RELATIONSHPS: Reports to the General Manager JOB SUPERVISES (Title(s): N/A ESSENTIAL DUTIES AND RESPONSIBILITIES: Human Resources Administration  Establishes and maintains employee personnel files on site and maintains strict confidentiality and access of files  Places job postings, as directed, for open technical and administrative positions  Processes new hires, including new hire paperwork, MSS, on-boarding, POS, name tag, business cards, uniform, etc.; coordinates New Hire Orientation  Distributes benefits packets to eligible employees and answers questions about plans; consults with Benefits Representatives in Tempe as needed  Assists in processing leaves of absence through Benefits Representative in Tempe  Handles worker’s compensation program administration and maintains OSHA logs  Responds to internal inquiries regarding policies, procedures and programs  Processes employee status changes through MSS or paper; processes terminations in MMS/POS  Review and prepare payroll information and forward to Payroll Department for processing; researches and assists in the resolution of payroll discrepancies and issues Inventory Completes inventory duties accurately and efficiently:  Performs cycle counting according to schedule and Stock Control Book maintenance  Reviews all differences and reports to AGM for audit  Receives orders when they arrive in the locations, using proper procedures  Reports any over, short or damages to AGM  Audits work stations/rooms for retail product not marked with supply stickers  Makes list of all stock movement items for AGM/GM on a weekly basis before cycle counts to record inventory correctly  Prepares RTW/RTV according to directive from supply chain  Works with AGM on supplying order sheets to leads for monthly counts  Works with AGM on all DIO/sale items & discards Other Spa Administration  Is a key holder and performs MOD responsibilities (in the absence of GM/AGM/GSM)  Perform opening and closing duties as needed, following established procedures  Coordinates incentive awards and special events  Schedules and coordinates training programs for the facility  Maintains effective work relationships with Corporate departments and assists with special projects  Performs additional projects or duties as assigned by the General Manager  Handles R&M issues, including Service Channel orders, and landlord/building communications (e.g., fire drills, etc.)

Job Requirements

JOB REQUIREMENTS:  Minimum 2 years administrative experience  Excellent PC skills with experience in Microsoft Office (Outlook, Word, Excel, PowerPoint)  Excellent organizational, detail, analytical and problem solving/conflict resolution skills  Knowledge of FMLA, ADA, COBRA, Worker’s Compensation regulations  Motivated, professional individual with excellent interpersonal and customer service skills  Excellent listening and verbal communication skill  Ability to communicate effectively in a positive and professional manner with all levels of personnel  Ability to accurately meet deadlines and perform independently in a team environment with minimal supervision  Excellent interpersonal skills to effectively interact with employees and managers  Team player, able to deal effectively with employees and managers.  Strong time management skills, with ability to meet constant deadlines and handle multiple priorities.  Must present cooperative attitude to internal and external customers.  Ability to multi-task successfully and adapt to rapid change.  Demonstrated initiative with ability to work well and be productive under limited direction.  Ability to build employee trust and maintain a high level of confidentiality.
